At BTR Trainingen, it is about more than knowledge or skills. They believe in development with impact, in people who want to grow and in movement that lasts. BTR Trainingen helps employees, teams and organisations grow in their own role and function. Always tailor-made, always with an eye for the individual. But this personal approach also brings internal challenges. Because how do you keep an overview if everything is tailor-made?
Based in Hengelo, BTR Trainingen works primarily for the business market and provides support for challenges in the workplace. It is often HR managers or L&D managers who come to us with a request for help: employees who want to stand taller in their shoes, teams that need to work better together or managers who are struggling with their role. Together with the client, BTR maps out what is going on, where they want to go and what approach is appropriate. Based on these insights, a proposal is then written, together with a trainer who best suits the target group.
The trainers with whom BTR Trainingen has entered into lasting partnerships are experts in their own field. They are carefully recruited for their background, approach, expertise and experience. This enables BTR Trainingen to carry out assignments at all kinds of organisations and within different industries. From government, to healthcare, and from manufacturing to commercial.
BTR's work process is intensive, personal and diverse. No two training courses are the same. But that is precisely what made its organisation complex. "Everyone had their own way of working," says Nino Timmerman. "One person used Excel, another worked in Forms or arranged everything via Outlook. What was comfortable for that person worked in practice, but it could clearly be better and more efficient."
BTR grew rapidly, but that growth also brought turmoil. Information became fragmented, communication was messy and new colleagues could not always be offered enough structure and planning. Trainers and contact persons also lacked structure. The existing tools were only partially used, information about the planning and details of training courses were often outside the system and intake and evaluation forms were sent manually. In short: a time-consuming and error-prone process.
The need was clear: one central working environment where everything comes together. From intake forms and participant lists to certificates and evaluations. Fewer loose documents, less manual work and more overview. So that everyone, from account manager to trainer, knows what is going on and can get straight to work. With peace, structure and room for personal attention.
Through an earlier contact, BTR again ended up with Cube. No formal tender, just a phone call. "We already knew Cube a bit and immediately had the feeling: this is right. Not a stuffy software party, but people with the same Twente mentality. Down-to-earth, practical and direct." During the first session, also called sprint 0, both parties immediately dove into the content. What should the system do? What exactly happens between the first customer contact and the evaluation afterwards? Through sharp questions from both sides, the whole process of BTR was broken down step by step.
The result is a customised Learning Management System that supports the core of BTR's services. In this case, not a classic learning platform with only courses and e-learnings, but a system that organises BTR's processes. Think intake forms sent automatically, participant lists managed centrally and evaluations sent out as standard. All from one central source.
The platform is designed around five user groups
- Communication from one place.
- Automatic intakeformulieren en gedragsanalyses.
- Visual checklist of progress.
- Trainers receive notifications, manage dates, communicate and record attendance.
- Training actors only see their trainings and relevant information.
- Evaluation form appears automatically for trainers after training.
- List participants and view certificates and attendance.
- Register locations and additions such as lunch or beamer.
- Overview and management of company data within the platform.
- Complete intake and evaluation forms.
- Get practical information and download certificates.
- Automatically receive and store personality tests such as DISC and motivational analysis.
Bringing all processes together in one system, from communication and registration to administration, laid a solid foundation. Not only to support the learning process itself, but also to streamline everything around it. This way, BTR can focus on what really matters: supporting organisations and people in personal and team development. In addition, trainers, contacts and participants benefit from a clear, efficient and user-friendly platform.
Internal calm, external strength. The developed digital environment means much more than just convenience. It has fundamentally changed the way BTR works and made it more professional. Whereas for years the CRM system was only used to a small extent, it now acts as the heart of the organisation.
While it is too early to cite concrete figures on time savings, the confidence is there: less manual work, fewer errors, more grip. A solid basis for further growth. That foundation has now been laid and tentative first steps towards full adoption are being taken. For internal adoption, a series of instructional videos have now been developed and demonstrations have been given to colleagues and trainers. "We want this to become the new normal," says Barry. "That everyone knows: this is where everything is. This is what you work with."
This professionalisation drive translates directly into more trust among clients and contacts. "When you work with BTR, you get your own environment. You log in, register, receive automatic confirmations and certificates. That has really become a Unique Selling Point," says Barry. "It ensures that you are just that little bit stronger at the table with a potential client."
BTR also notices the difference internally. New colleagues can join faster thanks to a clear onboarding structure. Trainers know exactly where they need to be, which group they are training and what the specific wishes of participants are. And because intake and evaluation forms are now sent and collected automatically, the quality of training can continue to improve structurally on the basis of direct feedback and insight into learning needs.
"There will also soon be no room for discussion about where to be or what time to be somewhere," Barry said. "The information is in one place, and it's correct. Full stop."
What connects BTR and Cube is more than technology. It is a shared belief that growth does not have to come at the expense of humanity. That structure can create space, and that digitalisation only really works when it connects with how people work. Thanks to this collaboration, BTR can continue to grow as a partner for development within organisations. Ready for a future in which learning becomes even more personal, but is structured, scalable and reliable behind the scenes.
