How do you keep an overview when your administration is scattered across Word files, Excel sheets, notes, WhatsApp conversations and handwritten lists? A large Dutch membership association ran into this on a daily basis. With more than 1,300 members and diverse activities, the need for peace, structure and security was growing. How did they solve this? What did it deliver? And what can other associations learn from this?
The association, active in sports and running entirely on volunteers, was running into a growing problem. Membership records were fragmented across several tools: Word documents, Excel sheets, WhatsApp groups and separate payments. Everything was processed manually. Inviting new members, tracking payments, transferring money and updating membership lists: it was time-consuming and involved unnecessary risks. Moreover, the overview was often lost and sensitive information was stored in insecurely scattered places.
With a growing membership base of over 1,300 people and multiple forms of registration for various activities, the need for a structured solution became increasingly urgent.
The solution consists of two separate but fully connected environments that together form one powerful and flexible system:
Administration environment (Filament): specially designed for administrators
Members interface (Livewire):the personal environment for all members
Both worlds communicate real-time via a central database. As a result, everyone from members to administrators always works with the most up-to-date data. This set-up makes it possible to optimise the experience per target group: administrators have overview and control, members experience convenience and speed.
Portal administrators, the board members, manage the entire membership administration from their own environment. They can export member lists, modify data and create activities, such as group outings and volunteer meetings. For each activity, it is possible to set which group it is visible to, whether priority is given to certain members (such as volunteers), and whether there is a limit or payment attached.
Thanks to integration with Mollie, payments are processed instantly and securely. This makes manual checks and cash flows unnecessary. A logbook records all actions of administrators, ensuring greater transparency and control.
Through a personalised interface, members can manage their details and easily register for activities. They immediately see what is available, including all relevant information such as date, location and cost. As soon as a new activity is open for their profile, they automatically receive an e-mail notification.
The system takes into account the member's role within the association and only shows activities for which registration is possible. Registrations are transparent and editable. Thanks to the link with Mollie, the payment status is also immediately visible. Everything runs smoothly and without unnecessary risks.
The member portal is designed for simplicity, but also for security. All data are managed centrally and according to strict security standards (ISO 27001). Thanks to the activity log, it is exactly visible who did what. A clear set of ground rules has been drawn up for the administrators so that everyone works responsibly with the system.
Since its launch, the portal has been heavily used. The administration is clearer, errors are spotted faster and the number of manual operations has decreased significantly. Member lists can now be exported directly, complete with unique features such as relationship numbers. The association works more efficiently and offers its members a reliable and professional environment.
This approach is suitable not only for association, but also for sports clubs, student associations, community organisations or youth organisations.
